Job Description

Prime Response Inc. is seeking a full-time, permanent Contract Administrator to provide  corporate Contract Administration and other corporate administrative functions to include:

  • Review contracts/mods for accuracy/issues/compliance.
  • Manage/track contract dates, expirations, options, and funding.
  • Create/maintain Contracts Calendar
  • Update Monthly Backlog Report
  • Interact with KO/CS/CORs as needed.
  • Create/Manage Contracts SharePoint site and manage access privileges.
  • Manage/update Key Stakeholder file with all names, emails, addresses.
  • Support contract Requests for Equitable Adjustments (REAs)
  • Develop initial REAs
  • Interact with Admin Department to gather and assemble supporting documentation/payrolls, etc.
  • Track outstanding REAs and revenue accruals.
  • Review all contracts and PWS’ and create deliverable/performance requirements for each.
  • Organize, schedule, and moderate Project/contract reviews.
  • Develop contract action/improvement plans and monitor plan progress.
  • Develop and deliver regular contract, budget, and performance reports to corporate executive team.
  • Insurance
  • Manage corporate insurance documents portfolio.
  • Create and maintain Workers Compensation rate chart for all locations/categories.
  • Document and maintain corporate vehicle fleet data.
  • Interact with broker regarding adds, deletes, updates to vehicles, drivers, etc.
  • Finance/Invoicing
  • Provide Invoicing Support.
  • Support Corporate Controller – as needed.
  • BD/Proposal Support
  • Assist with proposal preparation, Past Performances, compliance checking, Red/Gold team reviews.
  • Assist with proposal pricing – as needed.
  • Create and maintain a “boilerplate” library and index of past proposals, sections, and key elements.
  • Assist with Capture Plans – as needed.

Requirements

  • Minimum of five years of relevant business experience with verifiable success.
  • Understanding of government contracting processes and terminology.
  • Working knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS) preferable.
  • Working knowledge of Service Contract Act (SCA) regulations preferred.
  • Experience administering contracts/contract deliverables.
  • Understanding of – and verifiable experience with – business drivers, corporate governance, metrics and quality management, and executive-level interactions and support.
  • Experience with developing and contributing to proposals, proposal pricing, and compliance checking.
  • Detail oriented approach to critical deliverables and activities.
  • Understanding of, and experience with, financial /accounting matters and activities including invoicing, AP/AR, budgeting and budget tracking.
  • Must be able to work and produce independently, and with minimal direct oversight/direction/supervision.
  • Bachelor’s Degree required – preferably in Business Administration, Finance, or other business-related discipline.
  • Ability to receive and maintain government security clearance.
  • Ability to pass criminal background investigation and drug screening.
  • Valid driver’s license.
