Are you a highly organized and experienced Executive Assistant ready to make a significant impact? We're looking for a dedicated individual to support the executive team of a dynamic and rapidly growing organization. This role is essential for ensuring the smooth operation of the executive team by providing top-notch administrative support to c-level executives.
As an Executive Assistant, you'll play a crucial role in helping leadership manage key tasks, strategic initiatives, and overall company operations. Your responsibilities will span from calendar management and meeting coordination to acting as the primary liaison between the company and external event planners and vendors.
Key Responsibilities:
Calendar Management: Coordinate and oversee executives' schedules, meetings, and travel arrangements.
Communication: Serve as the primary contact, handling and responding to communications on behalf of executives.
Administrative Support: Manage email, correspondence, reports, expenses, and record-keeping.
Meeting Coordination: Prepare materials and ensure executives are well-prepared for meetings.
Project Assistance: Support strategic projects by managing tasks, conducting research, and meeting deadlines.
Travel Arrangements: Organize and plan all travel logistics, including creating itineraries.
Gatekeeping: Control the flow of information and prioritize requests to help executives stay focused.
Personal Assistance: Assist with personal tasks and appointments as needed.
Event Management: Plan and coordinate events, working with external vendors and event coordinators.
Problem-Solving: Address and resolve issues that may affect executive productivity.
Role Requirements & Qualifications:
Education: Associates or Bachelor's degree in business, communications, or a related field preferred but not required.
Experience: 2-4 years of proven experience as an Executive Assistant.
Skills: Strong proficiency in office software and productivity tools (e.g., Microsoft Office, Google Workspace, Monday.com), exceptional organizational and time management skills, and excellent written and verbal communication abilities.
Confidentiality: Ability to maintain a high level of discretion and confidentiality.
Problem-Solving: Strong problem-solving and critical thinking skills.
Adaptability: Flexibility and adaptability in a fast-paced environment.
Communication: Proficiency in virtual meetings and communication platforms.
Professionalism: Courteous demeanor with strong interpersonal and relationship-building skills.
Attention to Detail: High accuracy and attention to detail in tasks.
Independence: Ability to work independently and proactively with minimal supervision.
Additional Requirements:
Willingness to travel up to 5%.
Valid driver's license and reliable transportation.
Ability to stand for long periods and lift items up to 20 pounds, with or without reasonable accommodations during company events.
